Achievement Certificates¶
Overview¶
Achievement Certificates are generated based on assessed competencies, which are grouped into categories (educational areas) and formatted using templates for different age groups. These elements must be configured before certificates are issued.
Steps¶
1. Configure Competency Categories¶
-
Go to Achievement Certificates → Competencies → Categories.
-
Each category groups related competencies and becomes a heading in the final certificate (for example, “Language and Literature Educational Area”, “Mathematics Educational Area”, etc.).
-
Click Add to create a new category.
-
Fill in the required fields:
- Title (name of the educational area)
- Description (for example, a description of the groups of learning outcomes for the area)
- Sequence - the order in which the category is displayed on the certificate.
-
Click "Submit".
Actions with categories:
- Edit - change the name or sequence
- Disable/Enable - when a category is disabled, it will no longer be used in new certificates, but already issued certificates and saved values will remain unchanged. The category can be enabled again later.
- Remove - delete the category record with no option for automatic restoration.
To perform one of these actions, click the actions button to the right of the category and select the required action.
2. Configure Competencies¶
-
Go to Achievement Certificates → Competencies.
-
Each competency row defines: Title (for example, “Explores situations and creates mathematical models”), the Category it belongs to (educational area), Description, Status, Grade Types to which it applies (for example, Semester I, Semester II, Annual), Subjects to which it applies, and the display sequence in the certificate.
-
Click Add to create a new competency and fill in the required fields.
- Title - enter the competency name. This field is required.
- Category - select the educational area from the drop-down list to which the competency will belong.
- Description - explain which knowledge, skills, or abilities the competency represents.
- Grade Type - select the assessment type that will be used for this competency. Assessment types are created by the Administrator in the Settings → Grade Types menu.
- Subjects - specify the subjects to which the competency applies. This allows you to link it to the relevant academic disciplines.
- Required Comment - enable this option if the teacher must leave a comment when assessing the competency. For this option, an assessment type must not be selected.
- Sequence - enter the competency sequence number, which determines its position among other competencies in the certificate.
Block "Applies to"
This block defines which sections/subsections/students the competency will be available for.
A student will be included if they meet at least one of the selected criteria. In other words, a student does not have to meet all of the specified conditions.
Important:
If you select tags, the system checks the tags assigned to students in their profiles in the Students section. These are not tags used to label the competency itself.
- Section/Subsection - select the classes or subgroups for whose students the competency should apply.
- Students - if necessary, select specific students for whom the competency should apply.
- Tags - select the tags that the system will use to determine which students the competency applies to.
Actions with competencies:¶
- Edit - make changes to previously completed fields
- Copy - copies an existing competency and adds the word "Copy" to its name for quick identification in the list.
- Disable/Enable - disables/enables the display of the competency in the certificate.
- Remove - deletes the competency record with no option for automatic restoration.
To perform one of these actions, click the actions button to the right of the competency and select the required action.
3. Select or Review a Template¶
-
Go to Achievement Certificates → Templates.
-
The platform provides ready-made templates for different age groups: Achievement Certificate — Grades 1-2, Grades 3-4, and Grades 5-9.
-
Use the actions button to the right of the template to Edit, Disable, Preview, or Remove the template.
-
To add a custom template, click "Add" and complete the form fields:
- Title - the template name that you will see in the list of templates. This is a service field — it helps you navigate between multiple templates and is not displayed on the certificate itself.
- Description * (optional field) - a short text comment about the template — what it is intended for, when it should be used, etc. This is reference information for internal use only.
- Template (the main form field) — this is where you define the appearance of the certificate.
Important:
- Plain text is accepted: any HTML code is printed "as is" (characters such as<,>etc. are displayed literally rather than interpreted by the browser as markup).
- The field cannot be left empty — there is no ready-made system layout by default, so you need to enter all certificate content manually.
| Placeholder | What gets substituted | |---|---| |%student_name%| Student's full name | |%workspace_name%| Name of the institution issuing the certificate | |%section%| Class or group the student is enrolled in | |%term%| Term/session (not printed on the annual certificate) | |%year%| Academic year in the format 2024/2025 | |%issued_at%| Date the certificate was issued |
- Sequence* - a numeric value that determines the order in which the template is displayed in the general list (a smaller number means a higher position, or vice versa, depending on the list sorting).
Issuing Certificates¶
Overview¶
Go to Achievement Certificates → Certificates. This table contains all issued certificates, with the following columns: Student, Section/Subsection, Academic Year, Academic Period, Template, Status (for example, "Draft", "Pending", etc.), and Issue Date. Each column can be filtered, and the date range helps narrow down the results.
How to Issue New Achievement Certificates¶
-
Click the Issue button in the upper-right corner.
-
In the Issue Certificates dialog box, fill in the required fields:
- Academic Year — the academic year
- Academic Period — the academic period (for example, Semester I)
- Template — select the appropriate template (Grades 1-2, 3-4, or 5-9)
-
In the Applies to block, specify which students will receive the certificate:
- Section/Subsection — limit the selection to a class or subgroup
- Students — limit the selection to specific students
- Tags — limit the selection by tags
- The dialog hint clarifies that these fields determine students who meet at least one of the specified criteria — tags belong to the students themselves, not to the template.
-
Click Submit to generate certificate drafts for all eligible students. If you select a section, the system will display the list of students in that section who will receive a certificate. Confirm the action by clicking "Issue".
All certificates will initially appear in the list with the "Pending" status on a yellow background, and then the status will change to Draft on a red background. The red background means that the certificate fields have not yet been completed. - Click the context menu button on the right and select "Open".
Filling in the Achievement Certificate¶
- Grades from the journal are migrated to the certificate into the corresponding columns for the relevant grade type.
- If you need to edit a grade, click the "Edit" button to the right of the assessed competency and select a grade from the drop-down list according to the grading system.
- The "Preview" button allows you to see what the printed certificate will look like.
- When all information has been checked and all changes have been made, click "Publish". A published certificate cannot be modified. If changes are required after publication, the certificate must be reissued.
- If a competency was added to a subject after the certificate was issued, its row will not appear automatically. Click Recreate to rebuild the sheet with the list of competencies. The confirmation dialog explains: subjects added to a competency after the certificate was issued will appear as new rows; a row whose subject no longer applies will be removed together with its note; already assigned grades will be preserved. Click OK to continue.
- After publishing the certificate, the "Download PDF" button will appear. Use this option if you need to print achievement certificates for students.
- After successful publication, students and parents will see their certificates with the "Active" status in the "Achievement Certificates" menu section of their respective student and parent accounts.
- A student can open or download their certificate by clicking the context menu button to the right of the certificate and selecting the appropriate option.
Process Summary¶
- Configure categories → competencies → templates (once or whenever the curriculum changes).
- Issue certificate drafts by year/period/template, limited by class, students, or tags.
- Fill in the drafts — using data from the journal or by adding changes manually.
- Recreate if competency definitions have changed after the certificates were issued.
- Preview, then publish to finalize the document.
Note:
A published certificate cannot be edited. If a correction is required after publication, issue a new certificate for the student/period instead of trying to modify the old one.
