Students Section

This section contains information about all students enrolled in the workspace of a selected school, as well as functionality for managing student accounts.

On the main page of the "Students" section, a general list of students studying at the selected school is displayed, along with filters that allow you to optimize the search for an individual student or a group of students.
The following filters are available to use:

  • Full name of the student
  • Phone number
  • Email
  • Student's personal file number
  • Programs
  • Tags
  • is inclusive?
  • is individual?
  • sections

You can manage the selection and display of columns for the aggregated students' table by clicking the “Columns” button in the top right corner of the page.

Adding a New Student to the School Workspace

There are three ways to add a student to the school workspace.

Option 1 – Invite

To invite a student to register in the school's workspace, follow these steps:

  1. Go to the "Students" section in the left-hand menu.
  2. Click the "Invitations" button in the upper-right corner of the page.
  3. A page will open displaying all students who have been invited via invitation link.
  4. Click the "Invite" button.
  5. The new form appears with two fields to be filled in:
    • Field 1 — "Student" as a pre-selected role;
    • Field 2 — a field for entering the student's email address.
  6. In the "Email Addresses" field, enter the email addresses of all students you want to add to the platform.
  7. Click "Send Invitation". By default, the invitation link remains valid for one week from the date it has been sent.
  8. Students whose email addresses were entered in the field will receive a registration invitation email at the specified address.
  9. Students must click the "Register" button in the email they receive.
  10. After clicking "Register", the student will be redirected to the registration page for the school's workspace with the "Student" role.
  11. The student must fill in the following fields:

    • Last Name;
    • First Name;
    • Middle Name;
    • Email Address (this field will be pre-filled in automatically);
    • Phone Number;
    • Assign Password.
  12. After completing the registration process, the student will be redirected directly to their new account.
    The account has not yet been added to the school's workspace. The request must be approved by the institution administrator. The student will also receive another email containing their login credentials.

  13. After the student logs in to their account, their name will appear in the invited students list with the "Accepted" status.

  14. The student's request to join the school's workspace will appear in the "Students" section highlighted with a yellow background. This indicates that the student's account needs to be activated.

  15. Click the blue context menu button to the right of the student's name and select "Activate". Confirm the action.

  16. The student's record will change from a yellow background to a white one.

  17. Once the student's account has been activated, they will see the school's workspace name in the upper-left corner of their account dashboard.

Invitation statuses:
- accepted — the student followed the link and registered on the platform;
- pending — the student has not yet completed registration;
- revoked — the invitation link was revoked by the administrator.

The institution administrator can:
- resend the invitation link - if the student did not complete registration within one week. A new link will be generated, and the previous one will be deactivated.
- copy the link — copy the invitation link and send it through other communication channels besides email (messengers, etc.).
- revoke — revoke an active link. The student will no longer be able to register using that link.

To perform these actions:

  1. Go to the Students section.
  2. Click the Invitations button at the top of the page.
  3. Select a student from the list.
  4. Click the context menu button to the right of the student's name and choose the required action:
    • resend
    • copy link
    • revoke
  5. Confirm the action.

Option 2 – Import

To import a list of students to add to the school workspace:

  1. Go to the “Students” section in the left menu panel.
  2. Click the “Import” button in the top right corner.
  3. On the import page, click “Add” in the top right corner and drag the file with the student list into the “File field.

  4. After the import is completed (status “Completed”), you can send the sign-up link to the student. The sign-up link to the school workspace is provided to the School Administrator by the platform administrator while onboarding.

  5. If the student’s email address was added into the import file table, this bypasses the registration step via the school link. In this case, the school admin or teacher simply needs to send the login credentials to the student.
    Steps:
    5.1 Click the blue context menu icon to the right of the new student’s name and select "Credentials”.
    5.2 A new form will pop up with the following fields:

    - Login
    - Email
    - Password

    5.3 The email field will already be filled in, as it was imported from the file. The password field will be empty.
    5.4 Click “Change” to the right of the password field. The system will automatically generate a password.
    5.5 Click “Submit”.
    5.6 Once changes are saved, the student will receive an email with their login credentials.
    5.7 The student can later change this password via Settings -> Security in their account.

Option 3 – Add Manually

  1. Go to the “Students” section in the left menu panel.
  2. Click the “Add” button in the top right corner of the page.
  3. Fill in the new student record, which includes the following fields:

    - Last name
    - First name
    - Middle name
    - Phone number
    - Student's personal file number
    - Gender
    - Date of birth
    - Drop out information - Parents information
    - Parents' jobs information
    - Contact information
    - Is Inclusive?
    - Is Individual?

    Required fields are marked with a red asterisk.

  4. After the student is added to the school workspace on the platform, you can send them the sign-up link provided by the platform administration while onboarding.

Exporting the Students List

  1. To export the student list to a separate document with all information displayed in the “Students” section, click the “Export” button in the top right corner of the page.
  2. The document will be exported as a .csv table.
